The majority of people use Microsoft Word when it comes to creating documents. It has tons of handy features that can aid in the presentation of the document. Among them are the tools like spelling checker, grammar checker, insert pictures, align documents and use different styles and formatting on the document. So, when you are creating a document here, you will come across an instance where you would like to change a phrase or a word that you have repeated in the entire document. This can be easy if you have a short doc but what if you have a file that is over fifty pages long? You ought to know that you should not do the hard work here by doing this manual way. Instead, let the computer do the task for you when you use the find and Replace tool in the different Word versions.

First, you will have to position your cursor at the top of the page or at the beginning of the document that you want to modify. Now, go to the Edit menu and then select “Find.” The window for Find and Replace will open automatically. Now, choose the Replace tab. Enter the word or phrase that you want the program to search in the box for Find What. In the second box, which is the “Replace with” you will have to type the word or words that you want to substitute for the one you have entered in the first box.

You can select Up, Down or All in the drop down menu. If you want to make sure that you are replacing the right words, you can just press the Find Next button or Replace. If not, you can select the Replace All button so that everything will be replaced immediately. That is quite easy but there are some things that you have to make sure you have done right especially if you do not want to go through the same process again. The first thing is that you have to remember that MS Word will only begin its search from where you have positioned your cursor. So, if you have placed the cursor at the middle of the document, it will begin its search there. Therefore, you will have to search everything again so that you can replace the ones that are in the upper part of the document.

When using the Replace All when you find inside Word, you will have to be careful because there may be instances when the words that you do not want to be replaced will be modified. Of course, you can undo what you have performed but you may have forgotten about that and you instantly closed the document window. Here, you will not be able to undo the changes you have made. You may want to choose the option “find whole words only” so that when you want to find and replace text, only the word that is the exact match of what you have entered will be changed.
